Practical guide for small agencies
Build an invoice follow-up process your team can actually run.
A useful accounts-receivable workflow does not begin with harsher emails. It begins with reliable information, clear ownership, approved communication, and a short operating rhythm.
The five-control system
Make the next action obvious.
One aging view
Keep every open invoice in one view with amount, due date, aging band, status, and the source record. The view should reconcile to the invoicing system before anyone acts on it.
One owner and next action
Every invoice needs a named internal owner, a dated next action, and a clear reason when follow-up is paused. A shared inbox is not an owner.
Approved reminder language
Prepare a short sequence that matches the customer relationship and the agency's voice. Confirm receipt first, then ask for timing, then route exceptions. Customer-facing messages should be approved before use.
Exception routing
Move disputes, missing purchase orders, incorrect billing contacts, scope questions, and legal issues out of the standard reminder lane. Give each exception a responsible person and a resolution step.
Weekly operating review
Review what became due, what moved, what stalled, and what needs leadership attention. Record decisions in the same operating view so follow-up does not restart from memory.
A simple weekly agenda
Review the system in 20 minutes.
- Reconcile the view. Confirm new invoices, payments, credits, and status changes against the source system.
- Work the due-soon list. Confirm receipt and remove preventable payment friction before an invoice becomes late.
- Review overdue next actions. Confirm that each item has an owner, a dated action, and approved language.
- Route exceptions. Assign disputes and operational blockers outside the reminder sequence.
- Record the decisions. Update the owner, next action, date, and status before the meeting ends.
Minimum operating fields
Keep only what drives action.
Avoid copying bank credentials, tax records, unrelated customer data, or sensitive documents into a follow-up tracker.
Quick diagnostic
Can your team answer five questions?
How much is open? What is overdue? Who owns each next action? Which items are exceptions? What changed since last week?
Need the process installed?
Test it in a fixed 30-day pilot.
Get Paid Faster helps qualified small agencies establish the baseline, install the five controls, operate the workflow, and document the Day-30 result. Fit and written scope are confirmed before payment is requested.
